Associazione Centro Aiuti Volontari (ACAV) is an international non-profit organisation
whose mission is to transform lives and communities through inclusive, integrated and
sustainable development initiatives that create lasting change. Its development and

development response, ACAV intervenes in different sectors notably; Agriculture and
Livelihoods; WASH; Education, Sports and Vocational Skills; Environment and Climate Action;
Technical Assistance to Local Governments and Local Organizations as well as Social Inclusion and
Protection alongside other crosscutting sectors.
ACAV has been awarded a grant by Cities Alliance (UNOPS), towards the implementation of
“The Sustainable Urban Integration of Displacement Affected Communities (SUIDAC)
Project in Arua City and Koboko Municipality” under the indirect management of
Cities Alliance financed by the European Union.

Job purpose | The Administrative Assistant supports in the management of all office tasks as well as managing the front desk. |
Reporting | Administrative Assistant will report to Human Resource Officer. |
Key Duties & Responsibilities | • The Administrative Officer supports the management of the front desk and attends to all the visitors of the SUIDAC project staff. • He/she is responsible for handling office tasks such as providing timely and professional assistance via phone and email, making reservations or travel arrangements, organizing venues for internal and external meetings. • He/she assists in filing of all the project documents in line with the filing procedures of ACAV. • He/she prepares regular reports on expenses and office budget. • He/she supports in maintaining and updating the organization stores/inventory database. • He/she ensures all equipment are tagged and entered into the official asset register and that the register is updated quarterly. • He/she coordinates office supplies and services such as electricity, water, internet, cleaning, etc. to provide SUIDAC project staff with the best possible work environment. • Perform any other duties that may arise from time to time. |
Minimum Qualification & Working Experience | • Minimum of Bachelors degree in Business Administration, Office Management, Human Resource management or any other relevant management course. • Minimum of 3 years progressive experience in the Humanitarian or Development sector. |
Other requirements | ▪ Fluent in written and spoken English. Knowledge of local languages spoken in West Nile will be an added advantage. ▪ Good analytical, participatory and self-initiative. ▪ Sound inter-personal and communication skills. ▪ Good at problem solving and innovative learning. |
Key Competencies required | • Willingness to learn and multitask to achieve results. • Attention to detail and commitment to excellence. • Ability to work beyond normal call of duty to meet deadlines. • Ability to work as a team with minimum supervision. |
Job duration | Six months (6) contract with the possibility of renewal depending on performance and continued donor funding. Initial probation period of three (3) months |
